Email Client Configuration for Spam

The Ironport system will tag any messages it thinks are spam with a [SPAM+] tag on the subject line. These messages will be moved to your Junk E-mail folder automatically, as long as you are using the consolidated Exchange e-mail system.

If you are on the consolidated Exchange server and your spam is not being moved, you should talk to your LAN manager or call the Helpdesk at x4848.

If you are not on the consolidated Exchange server then you will need to configure your client manually:

  1. Outlook 2003
  2. Netscape 4.x and 7.x
  3. Macintosh Mail
  4. Macintosh Entourage 2004

Creating a rule in Outlook 2003
(Print Version)
1. From the Outlook Inbox click ‘Tools’ then click ‘Rules Wizard’:

2. Click ‘New’, select ‘Start from a blank rule’, select ‘Check messages when they arrive’, then click the 'Next' button:

3. Select the condition 'with specific words in the subject', and then select the link 'specific words' in the 'Rule description' pane:

4. Type [SPAM+], then click 'Add' to add that to the 'Search List' and then Click 'OK':

5. Click ‘Next’ to continue. In the ‘What do you want to do with the message?’ window, select ‘move it to the specified folder’. In the ‘Rule description’ window click on the underlined value ‘specified’ to edit:

6. Choose "Junk E-mail" and then click OK:

7. Click 'Next' to continue. Add any exceptions you may want (not necessary right now, though later you may want to edit this rule and add exceptions for fine tuning) and then Click ‘Next’ to continue:

8. Click ‘Next’ to continue. Name the rule ‘Spam’ then check “Run this rule now on messages already in Inbox.’ and ‘Turn on this rule’. Click 'Finish' to complete:

Note: It's recommended that you check the 'Junk E-mail' folder weekly to remove the spam and prevent your mailbox from filling up. It's best not to empty the folder without review as that may be deleting messages accidentally.
